Questions about ordering

How do I order photographs?
All orders for reproductions of the photographs in this collection, and for the associated service fees for use in publications or productions, should be placed online.

To place an order, click on the thumbnail version in the search results list for more detailed information and the ordering menu. Click on the link that says “Calculate Service Fee” and select the appropriate fee for your project. When you click on this link it activates a pop up box, so you will need to de-activate pop up blocking software. Once the service fee is listed and that check box is checked, you can also select the box for the digital scan or print reproduction if you would like one. Then add the fee/s to your cart and proceed through the ordering process by setting up an account and processing the payment method you prefer. (See also: Questions about payment)

How fast can I get the digital scan?
If you order a digital scan and can use a credit card as payment, the digital scan will be available for download via a link at the end of the ordering process.

How can I find a specific photograph?
All photos of a given person use the same spelling for the name. Many photographs have descriptions that contain standardized keywords. For example, entering “blackboard” in the Keyword search box will return all our photos of scientists at blackboards.

If you know the exact catalog number of a photograph you wish to purchase or to pay the service fee for (e.g., Bohr Niels B3; Abastumani Observatory H1), you can enter this information in the “Quick Search” box at the top right of the home page in the dark blue bar to find that specific photo.

Who do I contact if I have problems?
If you encounter problems ordering, or cannot find a photograph, you can contact the Photo Librarian at:

Questions about payment

Do I have to pay with a credit card?
If you cannot pay with a credit card, there are three other payment options - bank transfer, direct bank debit (from US bank only), and check (from US bank only). If you order a digital scan and select one of these payment methods, the digital scan will not be available until AIP accounting has received and processed your payment. An email containing a link you can click on to download the scan will be sent to you as soon as the payment is complete. You may need to log in to your account to complete the download.

Any payment submitted MUST include your order number on or with it so AIP accounting can process it correctly.

What if I need an invoice to submit to my institution for payment?
If you need an invoice to print out and send in to your publisher/producer for payment, please select either the “Pay by check” or the “Bank Transfer” option. The receipt at the end of your order can be used as the invoice. SEE ALSO: Do I have to pay with a credit card?

What if I lost the digital scan file and need it again?
If you need to download the image AGAIN for any reason, the link is available by logging into your account and selecting the link for “View Order History / Order Tracking” then selecting your order number.

Questions about Service Fees and Permissions

How do I get the permission paperwork for publishing these images?
If you are paying our service fees, the receipt at the end of your order contains all the permission information we are able to provide. Since we do not claim copyright to these images, we cannot sign any outside permission forms.

Do I have to pay both a reproduction fee and a service fee?
The fee for providing a print reproduction or a digital scan, and the service fee, are two different things. They can be paid for separately if needed. The service fee ranges from zero for private use to higher fees for use of the photographs in educational publications, media or Web productions, or any other widely viewed public venue. These fees help support our efforts, as a non-profit organization, to preserve the photographs and make them conveniently accessible for educational use in this online catalog.

You can order a reproduction with zero service fee for comping purposes if the thumbnails on our website are not high enough resolution, however the reproduction fee still applies. You can return and pay the service fee later when you know for certain which images are being used in your project. SEE ALSO: How do I order photographs?
